Both products offer a conversational AI interface for querying past meeting transcripts with natural-language questions. Moving from Fathom to Otter: Otter AI Chat is available on the conversation page or as a panel during a live meeting; ask questions about any stored transcript or across the full library. Chat is private-by-default and can pull live context from connected apps (Gmail, Google Drive, Notion, Jira, Salesforce) via MCP connectors. Moving from Otter to Fathom: Ask Fathom is available post-call and account-wide on Free+ (limited to first 5 calls on Free); Team Edition users can search across their whole team's library. Fathom also pushes calls to ChatGPT and Claude via its own MCP integration from the post-call page. Neither tool supports bulk-importing the other's historical transcript library into the chat index — historical data stays where it was recorded.
- Warning: Otter AI Chat is metered by messages: Free/Basic gets 20 messages per user (3 per conversation); Pro 50; Business/Enterprise 200. Fathom's Ask Fathom usage limits are not published per message — treat as generous but unconfirmed.
- Warning: Otter AI Chat's cross-library search (all meetings) is available on all plans, but deep-link answer citations and team-wide search depth may vary by tier. Fathom's team-wide Ask Fathom requires Team Edition.

Both tools automatically generate a structured post-call summary with action items. Moving from Fathom to Otter: Otter produces a key-topics and action-items summary automatically after each call; a Meeting Summary email is sent to host and calendar guests. There is no one-click import of Fathom summary history into Otter — export past Fathom summaries as text from each call page and store them externally before cancelling. Moving from Otter to Fathom: Fathom offers 15+ meeting-type templates (General, Sales-BANT/MEDDPICC/SPICED/Sandler, Customer Success, One-on-One, Retrospective, etc.) on Team Edition; select the template that fits each meeting type in Fathom settings. Otter's template system is available from Pro up but is capped at 5 custom AI workflow templates on Pro and 30 on Business. Fathom's template-level custom instructions (gear icon per template) are set in the web app.
- Warning: Fathom advanced summary templates (beyond General/Enhanced) require Premium or Team Edition; the Free plan gets advanced AI on only the first 5 calls per month. Otter's 'advanced AI workflows' (templates) are capped: 5 per user on Pro, 30 on Business.
- Warning: Otter's action items are consolidated in a cross-meeting view and can be assigned to teammates; Fathom surfaces action items in the call summary but does not provide a cross-meeting task board.
- Warning: Fathom's non-English summary translation (Spanish, Portuguese, German, French, Italian, Dutch) requires Team Edition; Otter auto-summarizes in the transcript language but does not advertise translation of summaries.
Both products let users share and export meeting content, though their models differ: Fathom focuses on clips and playlists (shareable highlight reels), while Otter focuses on full-transcript exports in multiple file formats. Moving from Fathom to Otter: export full Fathom transcripts from each call's page (TXT) before cancelling; Fathom does not provide a bulk transcript export tool, so download individually. In Otter, share conversations via link with configurable permissions (view, comment), or export as TXT (all plans), DOCX/PDF/SRT (Business/Enterprise). Moving from Otter to Fathom: Fathom's highlight clips can be tagged during or after a call and grouped into playlists for training or voice-of-customer use; create playlists from the Highlights tab. Team Edition users can share clips org-wide and build playlists across all team meetings. Otter has no equivalent clip-and-playlist feature.
- Warning: Fathom does not natively export transcripts as PDF or DOCX — content is shared via time-stamped links or playlists, not document files. Otter exports PDF and DOCX, but only on Business/Enterprise; Basic and Pro get TXT and MP3 only.
- Warning: Fathom Folders (for organizing and sharing complete calls) are a Team Edition feature; Free and Premium users cannot use folders. Otter has no folder concept for organizing calls.
- Warning: Otter bulk export of multiple conversations requires Business or Enterprise. Neither tool provides an automated migration export of the full historical library in one step.
Both tools sync call summaries, transcripts, and action items to HubSpot and Salesforce. Moving from Fathom to Otter: in Otter, connect HubSpot or Salesforce under Integrations; Otter logs transcripts/notes to matching Contact and Deal records in HubSpot and to Contacts, Accounts, and Opportunities in Salesforce. Revoke Fathom's CRM OAuth connections (Settings → Integrations) after verifying Otter is writing correctly, to avoid duplicate entries. Moving from Otter to Fathom: in Fathom, connect HubSpot (Settings → HubSpot) or Salesforce (Settings → Salesforce); Fathom attaches Meeting events, tasks, and recording links to matched Contact and Deal records. Fathom requires the Salesforce API to be enabled on the Salesforce side. CRM field-mapping (writing summary sections to custom CRM properties) is only available in Fathom on the Business plan.
- Warning: Fathom does not sync to Salesforce Leads — only Contacts, Accounts, and open Opportunities. If your reps log prospect calls to Leads, data will be missing when migrating to Fathom.
- Warning: Fathom's HubSpot integration is limited to 3 connected users per user on Free/Team; Business allows unlimited. Otter includes Salesforce and HubSpot from Pro up.
- Warning: Fathom's CRM deal-field mapping and pipeline-stage syncing (Deal View) require Business plan; Otter does not advertise equivalent CRM field mapping on lower tiers.
- Warning: Both tools match CRM records by attendee email. Ensure attendees are invited on the calendar event on both platforms or records will not attach.
Both tools expose meeting transcripts and summaries to external AI assistants (Claude, ChatGPT) via MCP, letting users query meeting history without leaving their AI tool. Moving from Fathom to Otter: add the Otter MCP server to Claude (via the Claude connectors directory at claude.com/connectors/otter-ai) or to any MCP-compatible client; Otter's MCP server supports finding meetings by date/participants/topic and retrieving full transcripts, summaries, and action items. Moving from Otter to Fathom: Fathom provides MCP access at developers.fathom.ai and surfaces ChatGPT/Claude launch buttons directly on the post-call page; on every plan, Fathom's meeting library is accessible from Claude and ChatGPT. Both tools' MCP integrations are read-only and user-scoped — transcripts are not copied into the AI tool.

Both tools auto-join scheduled Zoom, Google Meet, and Microsoft Teams meetings and produce speaker-labeled transcripts. Moving from Fathom to Otter: connect Otter's AI Meeting Agent to the same Google/Outlook calendar so it joins in place of Fathom; download past Fathom transcripts (TXT) from each call's page before cancelling, then import or archive them. Moving from Otter to Fathom: install the Fathom desktop app (macOS or Windows) or let the Fathom bot join via the same calendar connection; disable Otter's calendar auto-join to avoid duplicate bots. On Fathom, choose between bot mode (visible participant) or bot-free capture (local audio, no visible bot) per meeting. Custom vocabulary for org-specific terms is available in Fathom on Team/Business plans; Otter has no equivalent custom vocabulary feature.
- Warning: Otter Free caps transcription at 300 min/month (30 min per session); Pro at 1,200 min/month (90 min per session). Fathom does not publish per-session minute caps — it advertises unlimited recording on paid plans.
