Both tools embed a conversational AI assistant for querying meeting content in natural language — Fathom calls it Ask Fathom, Fireflies calls it AskFred. Moving from Fathom to Fireflies: open a processed meeting in the Fireflies Notebook, hover over the meeting card and click the AskFred widget, or use the right panel in Notepad; type questions about what was discussed, request action-item extraction, or ask for a follow-up email draft. Saved prompts can be turned into AI Skills for reuse. Moving from Fireflies to Fathom: from the post-call detail page or the Ask Fathom tab in the sidebar, enter natural-language questions about the call; Team Edition users can query across the whole team's meeting history, not just their own. Neither tool migrates query history, so workflows built around saved prompts or AI Skills must be recreated manually in the destination tool.
- Warning: AskFred in Fireflies uses a one-time AI-credit pool (not a monthly refill): Free users get 20 credits total, Pro 20, Business 30, Enterprise 50. Each query costs 1 credit (Free) or a dynamic amount based on complexity (paid plans). Fathom's Ask Fathom does not use a credit model — queries are unlimited on paid plans.
- Warning: Ask Fathom on Fathom Free is limited to querying one call at a time; cross-meeting search requires a paid plan. AskFred on Fireflies is also limited to per-meeting context — there is no native cross-meeting chat unless the user manually stitches context.
- Warning: Fathom exposes meeting data to ChatGPT and Claude via MCP on all plans; Fireflies does not offer an MCP integration, so teams that query meeting data from within external AI tools will lose that workflow when moving to Fireflies.
Both tools generate structured post-call summaries automatically and offer 15-18+ templates covering general meetings, sales methodologies (BANT, MEDDPICC, etc.), interviews, and one-on-ones. Moving from Fathom to Fireflies: in Fireflies, open any processed meeting's Summary tab, then click the template selector to switch to your preferred format (Team Meeting, Sales Call, BANT, etc.) — no configuration is needed per-call because Fireflies applies the chosen template and re-generates on demand. Moving from Fireflies to Fathom: in Fathom's call detail view, select a template from the gear-icon menu and optionally add custom instructions per template (Premium and Team plans); note that custom instructions are currently only editable from the web app, not the desktop app. In both directions, past call summaries are not automatically re-formatted — you apply templates to new calls going forward.
- Warning: Fathom's Free plan limits advanced summary templates to the first 5 calls per month; after that only the General/Enhanced template is available. Fireflies offers all 18+ templates on all plans at no AI-credit cost, making the free tier more capable for summary variety.
- Warning: Fathom supports summary translation into Spanish, Portuguese, German, French, Italian, and Dutch on the Team Edition; Fireflies does not explicitly advertise summary translation, so multilingual teams may notice a gap.
- Warning: Adding custom (EXTRA) sections to a Fireflies summary consumes 1 AI credit per section per regeneration; Fathom custom instructions per template are a flat configuration with no per-call credit charge.
Both tools let users clip key moments from meeting recordings and organize them into shareable playlists. Moving from Fathom to Fireflies: in Fireflies, open any processed meeting's Soundbites tab and select transcript words/lines to create a clip, or use Magic Soundbites to auto-generate clips from AI-detected highlights; then add clips to a Playlist from the Soundbites tab. Moving from Fireflies to Fathom: in Fathom, highlight moments live during a call (using the in-call panel) or after the call from the transcript/recording view; then group clips into a Playlist from the call detail page. Clips created in the old tool cannot be transferred — download MP3/MP4 files from Fireflies or share time-stamped links from Fathom before decommissioning, and rebuild shared playlists in the destination tool.
- Warning: Fathom playlists spanning the whole team's meetings require Team Edition (Team or Business plan); on Free/Premium only the user's own meetings can be added to playlists. Fireflies does not document explicit plan restrictions for basic soundbite or playlist creation.
- Warning: Fireflies Magic Soundbites (AI-auto-generated clips) costs 1 AI credit per use for Free-plan users; paid users get it at 0 credits. Fathom does not use a credit model for highlights.
- Warning: Fathom's Folders feature (for organizing and sharing complete call recordings) is a Team Edition feature with no Fireflies counterpart — teams using Folders for training libraries will need to replicate that structure with Fireflies Playlists instead.
Both tools provide aggregated analytics and coaching data across meetings, but with different approaches. Fathom uses admin-defined scorecards tied to Meeting Types that auto-grade each call and surface coachable moments with timestamps; Fireflies uses an Analytics Dashboard with talk-time, sentiment, and topic-frequency metrics exportable as CSV/XLSX. Moving from Fathom to Fireflies: in Fireflies (Business/Enterprise plan), open the Analytics tab to view aggregated speaker metrics, sentiment trends, and Topics Insights across all workspace meetings; set up Topic Trackers to monitor competitor mentions, objections, or pricing discussions the way Fathom scorecards track deal-relevant topics. Moving from Fireflies to Fathom: in Fathom (Business plan), open the Coaching tab, create a scorecard with topics and grading criteria (Yes/Partial/No), and link it to a Meeting Type — Fathom will auto-evaluate all future calls of that type and rank reps against the top-25% benchmark. Historical data does not transfer; coaching baselines reset on the new platform.
- Warning: Fathom scorecards are gated to the Business plan (with a 30-day trial on Team); Fireflies Analytics Dashboard is also gated to Business and Enterprise — both features require paid enterprise-tier plans, so mid-market teams on lower tiers cannot access either.
- Warning: Fathom's scorecard model is prescriptive (admin sets criteria, AI grades against them); Fireflies' conversation intelligence is descriptive (observational metrics and topic frequency without pass/fail grading). Teams that rely on Fathom's structured call-quality scores will need to interpret Fireflies analytics manually rather than getting an auto-grade per call.
- Warning: Fathom scorecards only evaluate internal Fathom-hosted participants, not external call attendees; Fireflies analytics include all speakers detected in the recording, giving broader coverage for external-participant-heavy teams.
Both tools push meeting summaries, transcripts, and action items into HubSpot and Salesforce after calls. Moving from Fathom to Fireflies: disconnect Fathom's CRM integration in its settings, then connect Fireflies to the same CRM from the Fireflies Integrations panel — Fireflies supports HubSpot, Salesforce, and 12+ additional CRMs (Pipedrive, Zoho, Dynamics 365, Copper, Freshsales, Affinity, Attio, Close, Zendesk Sell, Salesflare, GoHighLevel, and more). Re-authorize the CRM OAuth and verify that Fireflies is matching attendees to the correct Contact and Deal/Opportunity records before the first live call. Moving from Fireflies to Fathom: connect Fathom to HubSpot (help article 448832) or Salesforce (help article 448640) — both require Team Edition (Team or Business plan) and an internal Fathom participant on the call; external-only calls do not sync. In both directions, historical CRM activity logged by the old tool stays in place; only net-new calls go through the new integration.
- Warning: Fathom CRM sync is gated to Team Edition (Team plan minimum); Fireflies CRM sync and video recording require Business plan or higher — a team currently on Fireflies Pro cannot use CRM sync without upgrading.
- Warning: Fathom maps summary sections to custom HubSpot/Salesforce properties (CRM field sync) only on the Business plan; Fireflies does not offer a comparable summary-to-CRM-field mapping feature, so teams that rely on Fathom's field sync will need to configure this differently or use Zapier.
- Warning: Fathom Salesforce sync attaches to Contacts, Accounts, and open Opportunities — it does not sync to Leads by design. Fireflies supports Leads in some CRM integrations, so behavior differs and may create duplicate or mismatched records if not reconfigured.
Both tools auto-join scheduled meetings and produce speaker-labeled transcripts, so switching is largely a calendar-reconnection exercise. To move from Fathom to Fireflies: connect the Fireflies Notetaker to your Google or Outlook calendar so Fred auto-joins in place of Fathom; export any Fathom transcripts you need to keep (download as TXT from the call detail page) before cancelling Fathom. To move from Fireflies to Fathom: install the Fathom desktop app or enable the Fathom bot through fathom.ai, then reconnect your calendar; download Fireflies transcripts from the Notebook before closing the account. In both directions, re-invite the new bot to recurring meetings that use a fixed conference link, since those won't be auto-detected through calendar refresh alone.
- Warning: Fireflies requires a bot participant (Fred) in the meeting by default; Fathom offers a bot-free desktop-app mode that captures audio locally without a visible participant — teams that chose Fathom specifically to avoid a visible bot will lose that capability on Fireflies (Fireflies bot-free is limited to Google Meet via the Chrome extension or the desktop app).
- Warning: Fireflies Free plan caps transcript storage at 800 minutes/seat; Fathom does not publish a comparable storage cap on its free tier, so high-volume users migrating to Fireflies Free may hit the limit quickly.
- Warning: Fireflies transcribes 100+ languages with auto-detection; Fathom's custom vocabulary feature (for org-specific terminology) is restricted to Team and Business plans and has no direct equivalent in Fireflies at the same tier.
